Should You Email That?
Know the Golden Rules of Email
• Respond in kind. If you received something by email, you may certainly respond by email. Respond in spirit. If a party was given in your honor, an email thank you is ill-mannered. Not only does this require a handwritten note of thanks, but a host and hostess gift also would be in order. In fact, to send an email thank you for any wedding, anniversary, birthday, housewarming or other gift is simply rude. Remember, email is anonymous. While email offers the wonder of immediacy and intimacy, it is also inherently fused with that characterless attribute: anonymity. And worse, it smacks of the extremely casual, even cavalier, when stacked up against a deed that took an investment of real time and exerted effort. Email is faceless. Even in the best of circumstances, email lacks the nuance you benefit from direct conversation, such as knowing when something is said in jest, or hearing the voice inflection that tells you this is trivial. Email is toneless. It is blind. And, it is often mirthless. Weigh the content of your message and your options before emailing. When the subject matter is personal, financial, confidential or a personnel matter, communication shouldn’t be conducted by general email. Only a secured website, or another kind of transmission, will do. When the subject matter requires a human moment because of its emotional content, make sure a faceto-face encounter and direct eye contact are part of the exchange. When there’s a need for negotiation, or there’s a benefit to be gained from having a discussion or brainstorming session, email should not be the vehicle of choice. q

Think before you text.” Just as the use of emoticoms in personal and business email varies, you may want to make a distinction when abbreviating words in a text. It may be great to text a friend TY as a quick thanks, but you should spell it out when texting a customer. It’s not just words that can be used inappropriately – photos can, too. As a general rule, you should ask a person’s permission to post their photo on the Internet or tag it on Facebook. Someone may be simply standing with an alcoholic drink in their hand, which may not go over well at their church. Someone might be uncomfortable about their appearance. You simply don’t know, so do the right thing and ask permission. Probably the best piece of advice: please don’t text and drive. Of course, it’s not a good idea to have any distraction while driving. The jury may be out on the dangers of talking on a hands-free phone while you drive, but no one claims texting while driving is OK. In fact, it’s estimated that answering a text takes away your attention for about five seconds, enough time to travel the length of a football field. Thousands of deaths are attributed each year to distracted drivers. The number of traffic fatalities has given rise to a new term: “digital death.” Spira related the story of a prominent Los Angeles plastic surgeon who was killed in a car accident seconds after sending a text about his dog. That is “digital death,” so don’t text while driving, and pull over if you really must send a text. Electronic communication has revolutionized the way we interact with one another. In the case of a dropped call, who calls whom back? Electronic etiquette has not reached a consensus on this answer. As new forms of electronic communications develop, we will formulate new rules for how we use them. The foundation of this system of rules should continue to put the human being first. What is the most respectful way to conduct this communication while attempting to retain human touch? This is the challenge we face, as we continually refine our electronic manners. q
