Do you call them or send a letter? How long do you wait before contacting them? Obviously, they may not have the money to start or maybe they elected to go somewhere else for treatment, but do you have a system to track them and find out? Is there a “script”? Also, what about the kids who are not yet ready for treatment but missed their recall/continuing observation/eruption checks? Do you contact them further and try to get them in? Thanks. n OCT 6 2010 dhmjdds Member Since: 11/16/04 Post: 2 of 2 In our office, the patients who have had a new patient exam are followed up on by the treatment coordinator. She generally tells them at the NP appointment when she will be calling them (depending on their reason for not scheduling, could be a day, a week, a month, six months) to follow up. If she tries several times – all documented in the chart – and they can’t be reached, then a letter will be sent. For recalls, that is run by the front desk. They will follow up multiple times until the patient gets back in. Again, a letter is the last resort, and generally precedes them being inactivated. How many of your exams are second, third, fourth opinions? I’ll bet, in central Florida, in this nasty economy, that your experience is common, assuming that this is a fairly new problem.
