I have an afternoon-heavy schedule (way more appointments and more staff in the afternoon), but all hell breaks loose when we ask parents to alternate their appointments. This is all discussed at the initial appointment. Like little Johnny is the only kid who goes to school! I wish I had the guts to dismiss every single person who stands and argues with my front desk about this. I could vent for hours (and have to my poor wife and staff and friends). n MAR 19 2013 I fixed that problem by: 1. Offering a discount for non-primetime appointments. There is a pop-up on the chart. 2. Creating short adjustment appointments in the afternoon only. If Johnny breaks a bracket, well tough luck, he’s got to come in during non-primetime to get it fixed. 3. Scheduling out longer for those afternoon appointments. Want to be seen more often? We have a morning appointment. n MAR 19 2013 r-1  Member Since: 02/09/04  Post: 4 of 22 Yes, I told my front desk to put someone 12 weeks out because they had to have after 3:30 p.m. You want to be seen four times a year? Fine. You want to be in braces forever? Wonderful! Did you find that any patients tried to “sneak in” afternoon appointments, and how hard is it to police? Thanks! n MAR 20 2013 Goodmany2k   Member Since: 11/12/09  Post: 6 of 22   10 We tell patients that at the removal and the setup, they will need to miss school. They seem to get that. Broken brackets, we will repair in the afternoon, but generally during their regular appointment. If they call in a panic with breakage, we tell them they can come in that day to remove the loose brace, but not fix it. Took me years to make my staff say this clearly. And not say, “If we have a chance, we will fix it,” or “The doctor may fix it.” Yet still, some parents say, “You’re not going to fix it?” and I give them a look and tell them, “I know what the front desk told you.” Now, the tricky part is the patients who have not been seen for adjustments, and call and say: “The doctor said he was supposed to see my son in six weeks. Well, it is six weeks so he needs to be seen this week.” Those are the parents we give the morning option to, or they will have to wait three more weeks for after school.
