RELATIONSHIP

o me, the word "ecosystem" is the perfect word
to describe what the planner-supplier relationship
should be within the meetings and events
industry. Before I became an event planner, I
worked in research for Canada's federal funding agency
for university-based research - the Natural Sciences and
Engineering Research Council of Canada (NSERC). Writing
this article brought me back to those days and my time at
university. I fondly remember my first year biology class,
where we learned about ecosystems and how they work.
Reflecting on this now, I'm able to recognize the similarities
to the working relationships of planners and suppliers
in the MPI community. It is one of ongoing interaction,
collaboration and support.
When I look at the definition from the perspective of the
planner-supplier relationship, it's easy to see the parallels
between an ecological community and the benefits of
building strong, authentic and healthy relationships with
suppliers in our network. Over the course of my career, I've
always approached my relationships with suppliers, from the
perspective of trust, transparency and integrity. This approach
has led to many long-lasting partnerships. We all know that
being an event planner has many privileges, and every day we
get to pull a million details together to create amazing events.
None of which would be possible without the support of the
key suppliers that we work with. For me, I view suppliers
as an extension of my team; they bring invaluable insights,
innovation, creativity, best practices and problem solving
solutions to support the success of my events.
Our industry has no doubt been clouded by unethical
business practices when it comes to things like accepting
thank you gifts, receiving commissions that aren't
disclosed to clients, going on FAM trips to destinations

with no intention of doing business in that destination,
or conducting site visits or inquiries with no intention
of a booking. For me, I avoid these types of issues by
including my suppliers in the planning and conversation
early in the process. I treat my key suppliers as trusted
advisers, and I am open and transparent with the
information that I have. I believe that an approach focused
on two-way communication, allows the supplier to provide
the best recommendations possible and will result in
success for both parties.
The relationship-building process is not an easy
one. You have to work hard at maintaining those
relationships, and when you find reliable suppliers,
you need to be loyal to those partnerships because
they are essential to the strategy and success of
your events. This is where the MPI Toronto Chapter
makes the process easier. Through the connections
of the memberTOmember program, planners and
suppliers can support each other, which strengthens
our community. In 2016, I submitted both the largest
and most transactions of memberTOmember business
done within our chapter. This is something that I
am extremely proud of, as it is a great way for me
to measure my connections and encourages me to
continue doing business with fellow MPI Toronto
Chapter suppliers. This not only adds value to my MPI
membership, but it also strengthens my interactions
with key suppliers, as we all work together to create a
trusted partnerships. ●
