THE EVOLUTION OF
SITE SELECTION?

W

hen I was asked to write an article on the
evolution of site selection and the technology
that supports our industry, I decided to put
myself in the planner's shoes.
I sat down at my computer and, forgetting about the
process I usually take with my clients, I started with
Google. I Googled "site selection options for meetings" and
immediately felt overwhelmed and anxious when it returned
more than 17 million results! So much information, but
where to begin?
Site selection today has become so much more than
simply requesting a few hotel quotes and choosing a
venue. And while the internet plays a big role, it can only
help with part of the process.
There are so many steps and variables that surround the
decision on "Where do we meet?" and the questions can
seem endless.
 Do our delegates need passports?
 What about infectious diseases and travel bans?
 Are there legal obligations?
 Is there availability to meet in the target destination
or is that destination already at compression in
terms of occupancy over our dates, and how can we
find out?
 Are there great offsite venues that would be of
interest to our delegates?
 Do we know of any incentives being offered by the
CVB that may help with our bottom line?
 Will there be a hotel renovations or a hotel sale?
 Do we need to consider the perception of the
destination and the target hotel to our delegates,
the press, or shareholders?
 What other costs (AV, food and beverage, taxes,
gratuities, resort fees, etc.) need to be considered in
addition to the room rate?
Every meeting, large or small, needs so much attention.
Today, more than ever, not only do we rely on technology,
but we need trusted relationships in the industry to help
inform our decisions. Like any other industry, these
relationships take time to develop. Your network worth is
your net worth.
Having the ability to call a colleague to discuss your
options and tap into their expertise or chatting with the
CVB or GSO to discover the possibilities in invaluable.

Interacting directly with a trusted hotel sales manager, or
someone you have worked with before to ensure all expectations
are met when choosing a venue can be the best kind of
reassurance in your choice. Leveraging those relationships is key
to make sure we are gathering the best information so that we
can choose the best city and the best venue.
When you get to the contract stage, you need people in
place who understand the process and can truly explain
what is being offered. For example:
 What does the force majeure clause cover?
 How does the 'walk' policy affect the group?
 If the hotel is sold or ownership makes a brand
change, does that affect the meeting?
 Is there a construction clause? And does that
construction clause let the group out of the contract?
What happens then and how is the group covered?
 How about attrition? What does it truly mean if the group
does not pick up 100 percent of what was contracted
and how would that affect the bottom line?
 Are there security concerns in today's uncertain
political climate? Are the people attending the
meeting protected?
It's far too easy to get overwhelmed by all the aspects of
site selection - that's why working with a great site selection
company help ensure you create an impactful, creative
program, within budget. Next time you are tasked with
finding the best site for your budget, consider tapping into
the expertise and industry partnerships that a site selection
company has! ●
