THE RIGHT PROVIDER WITH THE RIGHT PROGRAM Developing a comprehensive scope of work agreement with your maintenance provider is the key to lowering maintenance costs while maintaining quality and quantity GR E G DEN N I NG F acility maintenance is directly tied to the experience retailers create, what opinions consumers form about you and the frequency of their visits. While the list of maintenance projects grows each year, the budget for these projects continues to shrink under the pressure of today’s economic conditions. Whether you have one small shop or hundreds of stores across the nation, it’s a constant battle to balance those priorities and ensure your store(s) are properly maintained. So how do you lower maintenance costs without sacrificing quality and quantity? Deferring work might be your first answer; that’s a trend that has really taken off during these recessionary times. Unfortunately, ignoring or even band-aiding a maintenance issue only costs you more in the long run. The Right Provider with the Right Program The key to lowering maintenance costs while maintaining quality and quantity is having the right service provider in place, following the right maintenance program. Sounds simple, but if your maintenance company at any point isn’t giving you quality workmanship, isn’t completing its projects, or is sending you unexpected invoices detailing additional costs that claim to be outside the original agreement, then one of these factors is off. 16 I PROFESSIONAL RETAIL STORE MAINTENANCE I www.prsm.com This happens when you (1) risk quality and hire the lowest-cost company in the area; (2) you keep a long list of different plumbing, HVAC, electrical or general contractor vendors on speed dial rather than maintaining a strong relationship with a couple of select providers; and (3) your mutual expectations, costs and deliverables are not clearly defined at the beginning of the contract. Whether you have an existing facility maintenance contract, you are about to renew or are shopping for a new service provider, the best way to ensure you will receive complete and cost-efficient service is to (1) contract with one service company that is able to handle most of your maintenance needs (and that also has a great network of vendors for the specialty needs such as biohazards that they can’t tackle) and (2) work with that firm up front to develop a comprehensive plan and scope of work that will meet all of your expectations without exceeding your budget. If budget constraints are an issue, this would be the time to address them so you can prioritize and plan accordingly. Even if your maintenance staff is in-house, you can still apply these principles to make sure you are getting quality and costefficient work. At some point you will have to outsource to specialized companies for remodel, flood, fire, or other major projects, so it would be a good idea to have a plan and scope of work in place when you have to make that call.
