As the demands are increasing for more efficiency and additional work tasks are being assigned (many outside the “traditional” credentialing/medical staff environment), more organizations are considering development of an internal CVO. As with many credentialing and medical staff services departments, CVOs have adopted paperless credentialing and paperless files. I remember well going into a CVO on the East Coast years ago and being presented with my first electronic file audit. The more than 10,000 hard copy provider files were housed in another location in another state. There were no paper files for me to see. A CVO rep and I sat beside each other at a computer and he proceeded to show me the items for review electronically while I completed the audit on paper. For those national CVOs and/or health plans that have thousands of providers, electronic storage and delivery is a must. Some CVOs used to download hard copies of their electronic files for the survey. Today, we make sure to tell them if they’re paperless, 44 / SYNERGY ju ly /a ugust 2012 don’t print hard copies; we will work with someone on-site to show us the electronic file. Most CVOs scan their documents and have electronic files. With the paperless process, completed files can be sent electronically to the client, saving valuable time. Most credentialing software allows the client to view the documents received in real time, providing a choice to download incrementally or wait until the file has been completed. This is huge in terms of efficiency on the part of the healthcare organization. Another change is the use of online verification sources versus paper “snail mail” verifications, usually with the ability to import the image directly into the credentialing system. If online verification is not available, faxed and email communications are now being used. Credentialing software offers even more sophisticated technology with batched query automation and workflow tracking mechanisms. We are lucky to have this technology at our fingertips today. As the industry demand for qualified, experienced personnel continues to outweigh the supply and accreditation focuses more on determining and documenting clinical competence, organizations should regularly assess whether developing their own CVO or contracting with a CVO would provide a quality or cost benefit. It could allow staff more time for the assessment and facilitation of the review and approval process. Our industry has been continually experiencing increased responsibilities with limited resources, and a hurried process due to time constraints can cause mistakes and/or missed signs of potential risk when insufficient time is given to the overall process.
