will utilize mail merge to import data
fields from room condition reports and
health and safety inspections. Resident
directors log into the housing software
and send personalized emails to all
residents in a given report at the click
of a button. This is one example of
how to keep residents aware of their
results and any additional steps that
need to be completed. Furthermore,
the software platforms need to offer
more connectivity to other student life
partners on campus. Dianne Brittingham, associate director of housing
and food and director of residence
life at The University of Oklahoma in
Norman, notes that they "still need to
work on a way for our facilities staff to
gather information from the form after
closing." If an institution could connect the online room condition report
process with the processes already in
place for campus partners, such as facilities, housekeeping, and conference
services, it would be a great help to the
quick turnarounds, such as between
summer sessions and fall opening.
As with any new system, some
aspects will be appreciated and others
will be disliked. Some students will
appreciate that electronic reports are
faster, more efficient, and easily accessible. Others will miss the personalized
aspect of filling out a paper form and
may feel that the electronic process
is lacking in human interaction. The
decision to transition to electronic room
condition reports should not be a light
one, but these added perspectives can
be helpful as departments decide if this
is the best system for their campus.
