Executive Housekeeping Today - June 2008 - (Page 8) frugal (continued from previous page) are wonderful systems when they work; however, relying upon them completely can cause a disaster when these systems do not work in a true emergency. • Develop clear communication protocols: Who responds to the public, how fast, and what should the message be? It is critical to include the public information office in the emergency planning group and to develop preemptive action plans pertaining to the communication. • Likewise, have a clear plan on how you are going to communicate to your organization, employees, customers, patients, etc.: Some universities are now using a system that can notify all campus personnel (and student parents) of any life-threatening emergency in a matter of minutes through the use of a system that utilizes e-mail, office phone, pop-up banners on office computers, and messages either to landlines or cell phones. The general rule of thumb seems to be to use all communication channels available to ensure that the message gets across as soon as possible. This message may also relay the central contact point for additional information. • Once a plan is developed, and prior to finalization, it is important to train persons in every aspect of the plan, who does what and when: The easiest way to “test” the plan is to conduct a tabletop exercise. A scenario of a type of emergency should be presented to the emergency response planning group, and they should act out what they would do during the disaster. As the plan unfolds, additional variables may be thrown in to encourage planners to think differently. Usually, someone who is familiar with disaster planning should set up the scenario and independent observers should be used to monitor the exercise. (The local agency responsible for emergency planning in your area can be of great assistance with this type of exercise). Someone should be appointed as a scribe to take notes. After the exercise is over, the group should be debriefed on what went well and what could be improved. If the plan needs to be changed, now is the time to make those changes. • Review the plan on a regular basis: The greatest danger is to develop a plan and then let it sit on a shelf, collect dust, and get out-of-date. Test the plan at least one or twice a year using different, but realistic, tabletop exercises or scenarios each time. Regrettably, as the number of violent acts continues to escalate, there is no doubt that at some time or another, disasters could take place in your area. If not a violent act, other types of emergencies, either natural or man-made, are ready to strike at any time. By planning, preparing, and practicing today, you can help your organization to respond swiftly and appropriately when an emergency happens. Now it’s back to the drawing board.
