Imagine going in to a room in an ICCU to do an inspection, turning on your PDA, and having it generate the time, date, the number of the room or name of the area to be inspected, and the list of employees, so the work can be tied to a specific individual. From there, the screen populates the inspection criteria for that specific room (known as a room type), allows you to inspect all equipment (here, just about any task can be added to the room type), and assign it a pass/fail score. But even more helpful is that each task, in addition to being set up as a pass/fail, can usually be set up with a point value that determines importance. For example, soil left on the outside of a garbage can is unsightly and in need of correction, but it is nowhere near as severe as blood or soil being left on a patient bed. Therefore, the “failed” trash can would be marked as a deficiency, but carry with it a less severe point deduction as opposed to the patient bed, which would be a severe point deduction if found to be soiled. The biggest benefit, however, is that with so much of the information customized and pre-loaded on a PDA inspection device, you don’t have to think about that portion of it during the inspection. By reducing some of the subjectivity inherent in most, if not all, processes of inspection, you are left with a more accurate and valuable inspection process. Above are listed only some of the benefits of considering making a switch to a PDA inspection device. I have personally found that my employees appreciate being part of the inspection process. I can take them along, show them what I’m inspecting, and show them their results. I can then work to show them the best of their work, while at the same time sharing any need for correction. The cost of the tools varies, and you should consider the move only after discussing all of the options with a reputable company. Most companies will have a demo or a version for you to view and perhaps even work with for a period of time, so you can determine if the program will work for your facility. Solid companies that sell this type of tool will often provide support after the purchase to help train you in how to maximize the benefits of your purchase. Inspections aren’t going to go away. We can’t honestly and accurately measure our performance or the performance of our employees if we are not routinely measuring such performance via inspections. Quality improvement is predicated on knowing where you are at this time. Without inspections, it is hard to fully develop a picture of where you need to be in the future. Making the most of the information that can be easily captured in today’s PDA inspection tools is a step toward solid customer relations, regardless of facility type, location, or size.
