The process may be done inefficiently like this: One worker drafts the document, saves it in Microsoft Word, and then sends via e-mail in an attachment. Sounds simple, right? Not so because a multitude of problems can arise. First, if the file is too big, it can bog down e-mail. Second, co-workers with incompatible software cannot open the attachments. A classic example of this is one worker using .DOC and another using .DOCX cannot read each other’s Microsoft Word documents. Although a way around this would be to have the original sender convert the file and resend it, it would be best to avoid this hassle all together. And third, if the attachment does go through e-mail and the other worker can read it, it’s easy to lose track of which attachment people are working on, especially if multiple people receive the same document.
