The boxes are loaded onto NextPhase’s trucks by Owens’ staff, which then locks the truck. When the boxes arrive at NextPhase, they are opened and the serial numbers on each unit is verified against the on-line log. A certificate of destruction is provided for the various components that are destroyed. “It’s a pretty closed system,” said Owens, who noted the IS department holds on to the hard drives until they are sent to NextPhase for disposal. NextPhase’s director, Chris Adams, agreed hospitals have an excess of end-of-life technology “with a lot of liability wrapped around the equipment.” Companies such as NextPhase, he said, can protect them by erasing, overwriting or shredding a hard drive, either on site or off site, depending on their risk tolerance. In addition to PCs and servers, hospitals are looking to dispose of tape, USB flash drives and even PDAs and cell phones, he said. The key to finding a good disposal partner, said David Daoud, an analyst with IDC, is finding one that allows the hospital to audit the disposal trail and provides transparency for the entire transaction. The biggest issue for hospitals, said Daoud, is ensuring compliance with privacy laws for any technology being retired or destroyed.
