Messaging News - February 2009 - (Page 33) In 2006, Great Florida Bank was planning to go public and needed a centralized solution to manage email records for Sarbanes-Oxley (SOX) compliance. “One of the key challenges facing our bank was to be compliant with SOX,” says Torres. “We knew that as a public company we are required to archive email, targeting everyone, for five years. Being a bank creates possible exposure of critical email records whenever an employee leaves. We need to keep those email records so information is never compromised.” Great Florida Bank was also chal- For Sarbanes-Oxley compliance, Great Florida Bank uses a five-year retention policy managed automatically by the archiving software. “Now, if an associate leaves the bank, we maintain the associate’s mailbox in the archive for five years, and managers can access the archive mailbox at any time,” notes Torres. To protect and manage existing PST files, Torres and his IT staff collected all the files and imported them directly into the archive. “We grabbed all the PSTs—close to “Miami is prone to lots of hurricanes and outages, but we know we can restore the complete Exchange Server from NearPoint.” —Hugo Torres, Great Florida Bank lenged to search email records quickly and accurately for litigation support. “We faced some legal situations and we could not find the information we needed in the PST files. We needed to find a solution that could help us keep tabs on all of our email, including all email coming in and out of the organization,” explains Torres. The Solution Great Florida Bank installed Mimosa NearPoint in December 2006. “Our local reseller, DataCorp, mentioned Mimosa NearPoint to us for the first time,” comments Torres. “Sitting down and listening to the pitch, we found NearPoint to be easy to implement and easy to use. We decided to give it a try.” The software solution was installed quickly with the onsite assistance of a Mimosa service engineer. “The installation was fast and took just one day to deploy. We had help from Mimosa for one day to install it. We had already completed the pre-installation of the Windows Server and the Microsoft SQL Server, so the environment was ready to go when the Mimosa engineer arrived. Since the installation, there have been no outages and no downtime,” states Torres. For user training, Great Florida Bank utilized email to instruct employees in how to use Mimosa NearPoint to access all their archived email. Employees were told to disable local archiving of email into PST files. Torres explains, “We sent out an email, telling our users how to retrieve documents in their archive. We received no complaints, and the process made it easier for users to keep all their information.” The Results Great Florida Bank’s Exchange Server was facing some serious storage problems before the archiving solution was installed. “When we took on the project, our old Exchange Server had outages resulting from lack of disk space,” says Torres. “Mimosa recommended that we reduce our mailbox contents on Exchange after deployment, which we did. The result was reduced mailbox size and improved Exchange performance. We have eliminated the dreaded email warning messages.” Currently mailbox quotas are in the 100MB to 500MB range, and storage is no longer an issue for Great Florida Bank. 100 files—and imported them into NearPoint,” explains Torres. “The process of locating and importing all the files was a bit tedious, but once they were all collected, the import process went very smoothly.” Great Florida Bank’s location in Miami means that it is at risk of frequent power outages caused by hurricanes. The organization learned that it could do restores from the archive, including individual mailboxes.
