In the first full year of using automated point-of-sale features of a pre-trip approval system that flag lower-cost travel options, the bank accounted for cost avoidance of $11 million. Through the bank’s lowest logical fare program, its agency is required to provide two lower-cost options within two days of a booking or indicate that the traveler took the lowest fare. Options are displayed to a manager for review at the time of pre-trip approval, which the bank requires for all travel. The final decision of which itinerary and price to take ultimately rests with the approving manager. From there, the system pulls it into the trip request. The pre-trip requirement made automating this process possible. The World Bank has a contract with American Express for travel originating in Washington, D.C. Each country office has its own arrangements with the agency of their choice, subject to procurement policies. The World Bank used Diners Club as its approved corporate card vendor and doubled the number of U.S. cardholders from the previous year to 4,000. Amadeus is the bank’s primary U.S. global distribution system, and the bank is working to advance a homegrown expense management system linked to SAP. THE CORPORATE TRAVEL American Express, BCD Travel, Carlson Wagonlit Travel and FCm Travel Solutions. American Express is the primary card provider for 280,000 travelers worldwide. In the United States, the company uses internal expense management tool EZ-X. About half of the company’s U.S. booked air volume is domestic. In 2007, the company renegotiated its car rental contracts and explored ways to improve meetings and other business process management. Last year, the company continued its focus on demand management and driving employee adoption of its online booking system. In the United States, American Express handled most of the company’s bookings, with the remainder, mostly meetings transactions, handled by Travelocity Business. Outside the United States, Citigroup consolidated agencies. While meetings is a separate function from travel within Citigroup, the two departments worked together to add tools to better manage meetings and leverage combined transient and meetings spending at hotels, when it makes sense to do so. Using Travelocity Business has made meetings data more accessible. The company also uses a third party for data aggregation. Citigroup also focused last year on further reengineering the travel program. Changes included putting more midprice hotels in the program and tightening up the travel policy. Citigroup’s 387,000 employees make more than 75 percent of eligible U.S. transactions using GetThere, which they also use in the United Kingdom, Mexico and Brazil. More than 60 percent of online transactions in the United States are made without agent intervention. Its primary global expense reporting system is Concur, and the firm uses the Citigroup-owned Diners Club card. U.S. booked air volume increased 6.7 percent and U.S. T&E rose 20 percent. Meanwhile, the travel management team, which operates in a shared services environment, implemented a new key performance indicator report that identifies noncompliant travelers and measures the cost of noncompliance. It also improved integration between Amadeus E-Travel, the preferred online booking tool in the United States, and travel management company online fulfillment services. Online booking adoption reached 65 percent and the touchless transaction rate rose to 70 percent. In November, the company closed its Bangalore, India, call center that serviced travelers in Canada and the United States and moved those offline services to a U.S.-based call center. After-hours services still are handled in India. Compliance continues to be a focus this year as its operating companies are now enforcing Siemens’ travel policy. Siemens is working on integrating hotel folio data into reporting. This fall, the travel team plans to roll out a strategic meetings management solution. Siemens’ consolidated U.S. agency is BCD Travel.
