FedEx continued its regional agency consolidation with BCD Travel, completing a rollout in its Europe, Middle East and Africa region and beginning one in Asia/Pacific. BCD is used for 86 percent of U.S. booked air volume and 88 percent of booked air volume outside the United States. Changes were made to the company’s internal travel portal, including the implementation of regional subsections. Last year, the company also developed and implemented a travel policy for nonemployees, such as consultants and vendors. Its business travel and entertainment expense report form was revised to add fields for expenses involving government officials. The company also has provided ongoing traveler education sessions and demonstrations. FedEx also hosted a hotel bidder’s conference for the 2008 season, audited 2007 hotel rates and updated its online hotel directory. FedEx in 2008 plans to conduct a rental car request for proposal and an internal audit of global travel and begin a migration from the Ariba e-form to a more traditional online booking tool. It also wants to implement a lowest available fare airline ticketing policy for FedEx Express and Services operating entities, update travel policies in international regions and communicate pandemic-planning travel policies throughout the company. FedEx uses Diners Club, a joint venture with MasterCard, as its primary U.S. card and American Express as its primary card outside the United States. >>Industrial supplies manufacturer Honeywell International last year implemented new tools and processes and expanded its strategic meetings management program. Honeywell in 2007 launched an online booking tool in Europe, the Middle East and Africa and this year is working to push adoption from 45 percent to 50 percent. The company last year also implemented a process to allow Internet booking if the savings for a transaction exceeded $100, after it was validated that the agency could not provide a similar offering. For long-haul flights, the company doubled the amount of time for which it will search for a lower fare, from two hours on each side of a desired departure time to four hours. To drive compliance, Honeywell collected data—such as advance purchase, use of business class and the percentage of internal travel—from its agency in order to provide a dashboard for business units to compare year-over-year performance. In 2007, Honeywell doubled the amount of meetings managed under its Honeywell Meetings Solutions department, which it retooled last year with a new meetings policy, a new license with StarCite, a meetings card and the selection of a third-party meetings management firm to provide planning services when needed. This year the company plans to expand its strategic meetings management program outside the United States. In 2008, Honeywell plans to focus on redesigning its hotel program to further compliance by looking at customer requirements and its request-for-proposals process. The company also is looking at pretrip reporting methods and sending e-mails to travelers who are not compliant. Honeywell also plans to do a complete review to ensure policy is complete, comprehensive and current. Carlson Wagonlit Travel covers more than 80 percent of the pharmaceutical company’s global travel spend. The company is taking a hard-line approach, including potential nonreimbursement, against bookings made outside of preferred channels. The new policies aim to achieve compliance through welldefined and firm approval procedures, including the company’s “oneover-one” exception rule, which requires any non-lowest logical airfare or out-of-policy bookings to be approved by the traveler’s supervisor’s manager. The company this year continues the global rollout of its new travel policy. Novartis plans to leverage strict enforcement and high preferred supplier use as it conducts a global airline bid. Novartis this year linked meetings registration to its CWT Horizon online booking system, requiring attendees to register and book air travel for meetings concurrently to increase overall online booking adoption.
