I know this is a generalization, but I see it on the street, in the office, on television, and in my own family. These devices have become part of the fabric of Gen Y’s existence, and planners are tapping into the technology to make meetings more interactive and engaging for younger audiences. I don’t know how many case studies I’ve read and events I’ve attended lately where participants were encouraged to use their cell phones, Blackberries, and other devices to network with other attendees, record video snippets, and take their own photos. The idea is that such activities create community and give participants a voice in their programs—sometimes attendees are asked to submit their material to organizers, who re-purpose it after the program. With good editing, the end result can drive home specific event messages and carry the experience beyond one moment in time. And, I have to admit, it’s fun. In his cover story this month, however, contributing editor Robert Carey, opened my eyes to a serious consequence that could arise from untrammeled interactivity. As Wal-Mart, one of the most tightly controlled companies in world, finds itself entrenched in a copyright struggle with a former vendor regarding 30 years worth of video footage taken at internal corporate meetings, it raises a question. Now that pretty much anyone can capture content on their camera phones, what is the risk for meetings? But then how do planners create engaging meeting formats for a changing audience? I believe it’s critical to respond to changes in meeting audiences or suffer the consequences of losing effectiveness, but planners should think hard about how and when to deploy interactive technologies that can capture meeting content and who, then, owns the content once it has been captured. Planners also need to think about what type of session or event is suitable for interactive formats. When an organization is communicating sensitive or proprietary information, cell phones should be turned off no matter who is in the audience.
