COSE Update - September 2008 - (Page 29) communications What’s your story? he 24/7 news media means when disaster strikes, you need instantaneous responses to reporters. Daily newspapers, TV stations, and even weeklies compete to break stories on the Internet—whether you’re ready to comment or not. So if you don’t have a plan to respond immediately, you may lose the chance to tell your side of the story. Suddenly you’re on defense with seconds on the clock. It’s more difficult to think strategically when your heart’s racing and the media’s pounding on your door. So to avoid the dreaded “no comment,” here are the essential elements of a crisis t communications plan: • List of employees with 24/7 contact information. • A clear delegation of responsibilities for each member of the management team. • Clear protocols and procedures for activating the team and approving communications. • A clearly defined media policy, including designated spokesperson(s) and support. • Pre-approved messages for likely crisis scenarios and templates for letters, statements to the media, and other communications tools. • Lists of critical stakeholders and contact information. • Pre-established notification system(s) and instructions for activation. • Policies and procedures on how to handle media calls and TV cameras in the lobby. • Background information for the media and/or a dark Web site containing executive bios, fact sheets, maps/ directions to facilities, high-resolution photos and logos. • After-hours contact information for local media. ● —Bruce Hennes and Barbara Paynter, Hennes Communications, crisiscommunications.com Large enough to serve, small enough to care Equipment Loans Working Capital Loans SBA Loans Call Christian Athey at 440-244-8013 september 2008 • cose update • 29 http://crisiscommunications.com
