Q:

Does anyone have a policy to share regarding employees donating Paid/
Personal Time Off to another employee? We have an employee who has been
out recently due to a sick child and has exhausted all of her PTO; we have
multiple employees asking if they can donate some of their unused PTO to
her. We have talked in the past about developing a policy for this issue, but
have never fully explored all the perspectives.

* Our attorney recommended this "sample" approach:
Employee A makes $15 an
hour and has exhausted all
of her time off. Employee B,
who wants to donate time to
Employee A, makes $20 an
hour. The best way to calculate
is by dollars and not by hours.
Employee A needs $120 to cover an 8-hour shift. Employee B
can donate 8 hours but it would
be at $160 so there would be
some overage. It sounds like an
accounting nightmare but it's
really easy to track on a simple
Excel spreadsheet and it keeps
everybody honest: If somebody
complains that an employee
was treated fairly or unfairly,
you have all the documentation
to show that time was donated

based on dollars per hour vs.
straight hours.
Create a simple slip of paper indicating that Employee B wants to
donate X amount of hours of PTO
to Employee A and then that's it
and have them sign and date. This
keeps the money out of it and
the employees are only donating
hours and you handle the logistics
of what those hours equate to in
dollars and cents.
Addendum: In the past we just
created a "goodwill bank." If a
person donates hours, the hours go
in the bank. If the recipient doesn't
need all the hours, then the hours
are left in the bank for another
person to use. It is much easier to
donate hours for hours, but now
in these times it's very important
that accounting be meticulous-

who wants to be the subject of an
investigation down the road?
* We have just done hours for
hours and eaten the shortfall,
rather than getting into wages. We have also not publicized
that an employee is donating
her time. So far, it has not been
a problem, but has fostered a
closer staff.
* [We use the spreadsheet idea,
too.] I do limit the donators to
not bringing themselves below 24
hours in their own bank...because
right after the donation they typically have something that comes
up for which they need time off.
* We don't allow anyone to donate
[if their "bank" is] below 40
hours and all donations are kept
confidential. I have had no issues
with PTO donations.  AE
