There is a trade-off between holding on
to everything so that you have access to
it and getting rid of information to keep
the database clean and avoid mistakes.
The more data a business must manage,
the greater the chance for mistakes. One
method that systems use to manage data
size is to archive old data. This method
physically or virtually removes access to
the old data from your system. Some
systems can automatically reach into
the archive to retrieve data without the
users' knowledge, while others require
a separate step to access the archive
database. Archiving data has two benefits:
It removes clutter from the active system
and it reduces the size of the production
database to help performance.

Data that is no longer accurate
brings an added complication. Because
the data was accurate at one time, if
you delete it then you lose history. If
you change it, then you either change
history or have inconsistencies in your
data. Instead of deleting, most systems
have the capability to make records
inactive. The inactive feature removes
the data from being accessible in transactions but allows it to be included in
reports. As search, filter and selection
features improve, this will become less
of an issue. The selection criteria allow
you to filter and exclude inactive data
in your views and reports. This will
allow you to keep the older data but
not let it interfere with your use of the
current data.
In order to be successful in business today, you need data; it is used every day to
make decisions, so it needs to be managed
properly. Implementing the right technology and good business practices will
reduce the errors in your data, remove
the clutter and streamline the collection
of your data. Spend the time necessary to
make sure that you have accurate, concise
and meaningful data in your system.
Having accurate and relevant data will
help you make better-informed decisions
and grow your business.
