repair station's aircraft drop-off procedures are followed every time.
Besides providing for an initial quote
to the customer, what else can you do
with a repair station's standard drop-off
procedures and documentation? You can
protect the repair station in a host of different ways.
You can have a documented process
for how to handle additional issues that
are discovered during the initial inspection. Let's say that the customer thinks a
wire is loose, but your inspection suggests
there is damage to one of the avionics units. This could change the scope
of what the customer expected to pay.
Standard drop-off documentation could
anticipate common issues typically found
in your operations, and could allow the
customer to preauthorize certain repairs.
This expedites the process of going from
initial inspection to repair to getting the
aircraft back to the customer. You also
can give the customer some assurances
about limits by explaining the scope
beyond which your repair station will
always seek additional client confirmation of subsequent quotes. This can help
both parties avoid misunderstandings by
explaining that 'beyond-the-written scope'
work will not be undertaken without written authorization. In today's environment,
this can be accomplished through email,
for example. By doing this, the customer
knows what you are doing, and the customer has no basis for claiming that he or
she thought you were doing something in
addition that was outside the scope of the
written quote(s).
The standard drop-off documentation
also can advise the customer about your
quoting process for repairs that are found
to be necessary, and your expectations
for customer turnaround on quotes. For
example, many repair stations have storage fees that are applicable when an aircraft is left at the facility for an extended
period pending approval of quoted
repairs.
The standard drop-off documentation
should certainly advise the customer
about your billing practices. You may
want to have the customer sign and
agree to all bills that fall within the
scope of the standard billing practices.
