5. Scheduling pearls and notes
a. Use schedule codes to differentiate between first and second consults to avoid
embarrassing situations in which you
reintroduce yourself to the same family.
b. Stack your second consults on slower
months. Patients placed on recall should
not be given return intervals of three or
six months. Instead, schedule all recall
appointments for May or September
since you know those are your slow
months.
c. All consults are not equal from a marketing perspective.
i. Girls are worth more than boys,
because they talk more and insist on
going where their friends go.
ii. Patients who live close to your office
are worth more than patients who
live far from it.
iii. Young patients are worth more than
old patients.
1. Adults do not get recalled; Dr. Kravitz allows them to pursue him.

d. Use special alert icons on your schedule.
i. Medical history.
ii. "L" for lab ordered and a checkmark
for when the lab has arrived.
iii. Acorns for patients who are nuts.
e. Staff should complete notes immediately,
not at the end of the day.
i. Special procedures that require the
doctor's input are listed on a Post-it
note on his computer.
f. Four questions to ask every patient, at
every visit, to ensure the highest caliber
of care:
i. Have we explained everything today?
ii. Have we explained what is to be
expected?
iii. Have we reviewed your treatment
plan?
iv. Have we answered all of your questions?
g. Recommendations:
i. Dolphin GPS system to track patient
flow and punctuality.
ii. Block two hours for lunch, as this
provides buffer time for unforeseen
procedures.
iii. Schedule 50 to 55 patients per doctor
per day, 110 patients for two doctors.
iv. Schedule eight to 10 consult appointments per doctor per day.
v. Schedule long appointments in the
mornings.
vi. Patients with extended treatment
time get shorter appointment intervals (four weeks).
6. Invisalign
a. Use the color-coded stars in patient section of the Invisalign website to distinguish between the following:
i. Different doctors within the practice
assigned to different patients.
ii. Patients ready to start or on hold.
iii. Patients who do not want IPR.
iv. Etc.
b. Write special instructions on the Invisalign box, such as "no IPR."
