have to deal with any of this - just let the outsourcing firm
onboard your new employee while you work with your
team, serve your clients, and make your practice a profitable
enterprise. Think about your own onboarding process right
now - do you have a checklist? Do you know what all of your
policies are?
Payroll - The outsourcing firm will likely use a payroll system
to onboard, so the employee's info is all in the system and
verified - benefit elections have been entered - deductions
are confirmed. These deductions are often missed when the
insurance broker has to tell the owner what the deductions
are, and then the owner has to tell the payroll team, and
this can easily be missed. Instead, the HRO manages this all
at once. The only time the owner is needed is to read the
confirmation from the outsourcing firm and confirm the
final approval.
Benefit-Administration - Congrats - your employee just had
a baby, but now we've got to make sure the baby is covered
on the insurance. No more chasing employees or paperwork
- the employee calls the HRO firm directly, and the owner is
notified after everything is completed successfully. Benefit
administration, when done directly, is where we see a lot
of errors, and unfortunately, they can become costly errors.
It is so important that each employee be onboarded timely
so that they can enroll in benefits upon initial eligibility
- or waive their opportunity. Missed enrollments could
lead to loss of coverage that was rightfully the employee's
opportunity to enroll, which then requires a lot of
negotiation with the carriers to backdate enrollment forms,
etc., and this isn't always permitted. The same can be true
for terminating insurance - if this is not done in time it could
be costly, as carriers will only go back so far to reimburse for
a late termination notice. The HRO firm is experienced in
benefit administration and ensuring all things are done the
right way the first time.
As you can see, utilizing the right HRO can free up
significant time, not to mention ensuring these important
responsibilities are being managed by qualified people.
Employees are properly onboarded, benefits are properly
communicated and enrolled, and payroll deductions match.
This is the way it should be - easy. You will be freed up to
reengage and take your company to the next level, just as
you had envisioned before getting bogged down in all of the
administrative work. After all, they don't teach you how to
do all of this administrative HR work at veterinary school
- they teach you how to be medical doctors to care for
animals. When the HRO does their job well for you, you are
freed up to do what you do best.
