Practice Management:

Although each of these responsibilities is important,
this article will focus on the importance of human
resource management for the practice.

Veterinary Practice Managers are responsible for the business
management and operational oversight of the veterinary
practice. They wear many hats in any given day so the
veterinarians can do what they do best - practice medicine -
rather than dealing with the business affairs. In some cases,
and in smaller practices, the doctor tries to manage this on
their own. Oftentimes these business affairs have to be done
after hours, or sometimes they assign another team member
to assist; this might be a certified vet technician, front desk
personnel, a spouse, or a third party. The responsibilities of
the practice manager, or the person assigned to handle these
business functions, are, but not limited to:

Labor departments on the federal and state levels continue to
add and update compliance requirements on business. The best
defense against fines and penalties is through the establishment
and maintenance of good HR systems and practices that comply
with these ever-changing regulations. In fact, many workplace
violations happen unbeknownst to the employer, simply because
there are so many rules and regulations with which to keep up -
certainly too many to list for the purpose of this article. Here are
a few common violations we see from employer groups:

* Financial: Accounts receivable/payable, balance and
reconciliation, inventory, etc.
* IT: Phone system management, computer software/
systems, credit card services
* Marketing: Mailers, community events, social media
accounts, waiting room displays
* Client Services: Client communication, business process,
scheduling, client relations
* Staff Management: Recruiting, hiring, onboarding, benefit
selection, benefit administration, employee discipline,
creating company culture, performance reviews, workers'
compensation, etc.

I-9: These forms must be separated from the employee
personnel file and retained according to the U.S. Citizenship
and Immigration Services (USCIS) retention requirements. The
retention requirements are cumbersome, and it is important to
understand the rules surrounding the retention and storage.
PA New Hire Reporting: In Pennsylvania, an employer that
fails to report may be provided a written warning for the
first violation and is subject to a civil penalty per each failure
subsequent to the warning.
OSHA Logs - 300 Form: This form is required to report injuries
and illness that occur at the workplace in detail. Recordkeeping
violations are considered to be serious and cost $13,260 per
violation.
Labor Posters: Employers are required to post the federal and
state Labor Law Posters. Failure to post the current state and
federal posters can result in fines of up to $17,000.
