Documentation and QMS

and growth of all companies. Understanding the information needs and
requirements of your organization,
suppliers and the enablers is key to
effective, efficient communication.⁸
First, understanding quality standards and lean Six Sigma methods
is crucial for establishing the next
steps to improve communication.
The objective of ISO 9001:2015 is
to provide additional guidance to
explain the intent of the standard
related to documented information.⁹
Its purpose is to develop standards
for all industries and sizes, and set
standards for the amount of documentation required to be relevant to
the desired results of the organization processes. Organizations have
the flexibility to choose how they
document their quality management systems (QMS), as well as to

Involving others in the plan

Collaborating with key players is crucial to obtain information needs
so that your organization is better aligned with enablers, suppliers
and customers. Common terms, connected work management systems and more effective communication could emerge quickly when
subject matter experts and process owners are involved.
Lean can be used to improve efficiency and effectiveness. Fewer
process steps with low cycle times are likely deliverables for lean
projects. Six Sigma is a strategic method in which statistical information and problem solving minimizes standard deviation and defects
to increase the quality of the output for the product or service. The
goals are to achieve near-perfect performance and quality production and service.
Although communication flows must be mapped (using VSM) to
understand the current state of the process, your suppliers, enablers
and department will share information to better map and integrate
the improved state of the communication system.11
Online Figure 1, found on this article's webpage at www.
qualityprogress.com, is an improvement chart to facilitate these
discussions. Team members must be selected from internal, external
and departmental areas. Customer information can be collected by
marketing to integrate the VOC for the improvement.12 Populate columns two and three. "Communication requirement" (column four)
prompts the user to identify what is critical for the success of the
communication process, cycle times, standards and the necessary
guidelines. Knowledge and collection of the details for the "Schedule/connection" (column five) will help to ensure that improved
messaging support will be seamless and timely for the users.
After the current state communication flow has been mapped,
the seven deadly wastes must be identified (that is, transportation, inventory, motion, waiting, overproduction, overprocessing
and defects) and documented in column six. Ranks are based on
customer impact in column seven. The definition of "customer"
may be defined by the team so that key stakeholders have a mutual
