But why is this the case, especially because organizations are typically driven by the desire to reduce
costs and satisfy customers? As Figure 1 shows, there
are seven challenges organizations commonly face
when conducting a process improvement project.
Simply being aware of these challenges in advance
of conducting a process improvement project is the
first step to ensuring these issues do not derail your
organization's improvement efforts.

When an improvement
project does not have a
clearly defined scope, the
initial stages of the project
can be extremely difficult.
Team members may waste
a significant amount of
time working to clarify the project scope and may
become frustrated with a project when the problem
to be solved or the boundaries of the process to be
investigated are not well understood. This may cause
the project to:
+ Take longer than necessary to complete.
+ Not have the appropriate people and experts on
the team.
+ Solve the wrong problem or not the most critical
problem.
+ Not be conducted at all.
Because problems in the real world do not necessarily present themselves as givens, an up-front
investment of time and other resources is needed
to prevent an improvement project from having a
poorly defined project scope. A reflective approach
is useful for examining the strategic objectives of the
organization and evaluating where related gaps in
performance exist.
Then, the uncertain, problematic situations must be
studied further to make sense of them so they can be
converted into problems that clearly identify what is
wrong and the desired direction of improvement.2
In addition, taking the time to develop a detailed
project plan and schedule will help to define the specific scope and objectives of a project even further.
Taking these types of actions will help organizations
reduce the ambiguities related to the scope of an
improvement project, which, in turn, helps to get the
project started in a more efficient manner.
