How To Host an Effective Congressional Site Tour * Start the tour at an indoor or covered location with seating. * Provide a company overview and briefing on plant operations, material properties of asphalt pavements, and industry issues. * Take pictures to thoroughly document the event. * Remember that elected officials have tight schedules, and you should adhere to the agenda developed and provided. Following Up Sen. Tom Carper (D-Del.) (second from left) meets with representatives of Allan Myers at the company's asphalt plant in Dover, Del. * Assign a team member or employee to take notes on discussions during the tour. * Determine what machinery will be in operation at the time of the tour and take the appropriate precautions to ensure that the tour will not interfere with operations. * Be sure that your visitors have clear directions to your plant, know which entrance to use, and have a reserved parking space. Conducting the Tour * Designate a welcome representative to greet the member and his/her staff at the confirmed location. * Provide name badges and PPE to participants and key employees involved in the tour. Send a thank you letter to the tour participants and include any information that may have required follow-up. Thank the staff who helped make the tour a success, and send photos to the participant's communications staff. Report back to NAPA with photos and highlights of the tour.
