Softening the Blow of Room Damages

Housing staff look for ways to make the process of assessing and compensating for room damages less traumatic for the RAs and the students they serve while still covering the necessary costs of repair.
Just a few examples of documented damage at Bryant University.
The damage inspection and appeal processes are, for many housing and residential life departments, the capstone of the academic year cycle. They not only mark the end of an academic year but also help to prepare residence hall spaces for use as summer housing or for camps and conferences or even to sit dormant until the next academic year. An integral piece of the repair and replacement process, inspection and appeal procedures are charged with both holding students accountable and recouping costs related to necessary repairs. The customer service component of the residential experience can complicate this process; housing staff must ensure that students have a voice at every step but must also ensure that student involvement doesn’t make the process too cumbersome. The key is to find a balance between serving customers and doing business. For many institutions, that

starts by giving students ownership of their own check-in inspection. At the University of Missouri in Columbia, residents complete the Room Inventory Condition Check (RICC) of their own space without staff involvement. “The student is responsible for accurately and thoroughly documenting the condition of their room, similar to what they would do at an apartment complex or even renting a U-Haul truck,” says Carole Douglas, area coordinator. “They receive a short hand-out that explains the importance of taking time to do this well, as well as tips for how to complete it accurately. We also post examples of good and bad RICCs and more indepth signage that explains what each item is and things to really take a look at.” At Bryant University in Smithfield, Rhode Island, residents are encouraged to submit an addendum to their room condition statement up to 72 hours after they check in.
