operations of mailrooms at the University of Colorado in Boulder, Paula Bland, director of residence life, emphasizes the importance of supervising and guiding staff members. “A good training program and regular inspection of the mail clerk’s work is key,” she says. “Supervision of the mailroom in these processes can help minimize problems.” Over the years, UC-Boulder has experienced a surge in the number of incoming packages, influenced by the online delivery option for ordering textbooks from the campus bookstore. While the university currently utilizes a manual logging and notification system, staff members have looked at web-based programming to help improve their overall procedures. A centralized system in which staff can easily see what packages were

received in each of the ten mailrooms on campus from any location helps to ensure that the right packages are delivered to the right residence halls. Whether using a computerized or manual packaging system, the possibility of losing packages during the delivery process remains a challenge. At Boston University, Richard notes that there is usually only one lost claim made per year. When this happens, the university reimburses students for the loss if it is an error on the residence hall’s part. Wayne State has a similar policy of reimbursement as long as mismanagement on the institution’s end can be demonstrated. “If there is no record and the student indicates that a package was sent, we have no way of authenticating delivery or that it

was our mistake,” Weekley says. Each of these institutions has been able to find a distinct package delivery system that coincides well with the overall size of the institution along with the number of residence halls on their campus. Even with an efficient system, effective risk management policies are needed to ensure the successful operations of residence hall mailrooms. “You have to put good policies and practices in place and develop conscientious and trained staff to ensure that you can reduce your risk for mismanagement,” Bland says.
