Once all the ideas are crafted into a strategic vision, though, there are still several decisions to be made that will ultimately convert design concepts to bricks and mortar. The determining factors are immense; in addition to achieving the design intent, projects must comply with regional and local codes, meet federal accessibility guidelines, and achieve sustainability goals set by the institution. Effective team communication is the single most important factor in achieving an on-time, on-budget facility. There are always built-in contingencies for bad weather days, but a decision roadblock can derail a budget and construction schedule. Gast has learned this first hand. At a number of Society for College and University Planning conferences she has given presentations on how to organize a successful project team, along with Celia Kent, the director of the Faculty of Arts and Sciences Planning Office at Harvard University in Cambridge, Massachusetts, and

Debi McDonald, a senior associate with NBBJ Boston. She explains that the first priority is inviting the right people to the table. This should include key institutional stakeholders, the architect, contractor, engineer, at a minimum, and key consultants when needed. Engineers are becoming more critical to the overall discussion because of the interdisciplinary requirements of LEED and the increasingly complex buildings and engineering systems. But just coming to the table is not enough. While many constituent groups are asked for input in the design phases of the project – students, faculty, administration, for example – college or university steering committee members will represent these larger groups once construction begins. At the table, people must be encouraged to talk, and it’s best to anticipate that there will be conflict. “That’s not a bad thing,” says Gast. “It’s a sign of engagement. The idea is to

understand you will run into the unexpected and establish rules of engagement at the beginning. Create a culture of mutual respect and do things early on to help team members get to know people as people.” Conflict can be positive and beneficial when everyone has a chance to speak. In the summer 2012 issue of Build magazine, an article titled “3 Ways to Enhance the Performance of Virtual Teams” offers the following suggestions for open and effective communication: 1. Establish ground rules for response time. 2. Eliminate side talk . . .3. . . . But take time to chat one on one. Adam Lavine, the founder and CEO of Funmobility, encourages positive conflict as a way to empower those who are engaged in making a decision. He explains, “Try to enable positive conflict so that people feel they can speak up and be involved with decisions. For good implementation, people have to feel they have been heard.” McDonald
