development, and transition. According
to the article “Employee Onboarding,” the
process should be designed to meet the
following high-level goals: “To make new
employees feel welcome and comfortable
in their new surroundings [and to]
minimize the time before new employees
are productive members of their new
workgroup.”
In order to achieve these goals, new
employees should be educated about
department culture, organizational values
and expectations, and the policies and
procedures that affect their day-to-day
responsibilities – an orientation that will
make them feel part of the discussion and
able to assimilate. Though this may seem
simple, it is in the execution of these goals
that many training programs fail. These
values are often ineffectively presented
in a passive way: for example, in a long,
drawn-out training presentation or in a
document that the employee is expected
to read on their own time. Also, the
topics can easily be buried in an agenda
that is already full of tasks that the new
employee must accomplish in the first
few days of the job: human resources
paperwork, meeting new colleagues,
and setting up their office. Finally, direct
supervisors sometimes have little to do
with the information sharing during busy
seasons and may rely only on training
provided by others as they manage their
own responsibilities; as a result, they are
not there to answer questions or provide
support. These missteps can contribute to
an unsuccessful first day on the job.
That first day is critical, according
to Alexia Vernon, author of 90 days, 90
Ways: Onboard Young Professionals to Peak
Performance, who says that the members
of Generation Y, also known as the
Millennial generation, decide to stay with
an organization – or not – on their first
day of work! So how do institutions allow
new employees more time to focus on the
things that truly set them up for success?

involves immediately creating a work
environment and set of relationships that
will help them succeed.
Initiate the supervisor-supervisee
relationship. A key piece of onboarding is
establishing the relationship between the
supervisor and supervisee. Onboarding
relies on the supervisor to relay critical
information, setting the new employee up
for success. By making contact with the
employee before they arrive on campus,
supervisors can ensure that all their
questions are answered; communication
not only eases the transition for new
employees but also creates connection and
buy-in to current projects in their position.
Charles Lowman, associate director of
residential life at Vanderbilt University
in Nashville, Tennessee, explains how
helpful this was to him. “Prior to my
arrival, my supervisor included me on his
weekly ‘Work/Life Balance’ newsletter that
goes to all employees in the department. It
includes information about fun things to
do in Nashville including cultural events,
sports, health tips, and the like. I definitely

appreciated this newsletter as a new
employee because it gave me a sense of
what Nashville would offer and made me
excited about my move.”
Set up a successful environment.
Office space should be ready for the
employee when they arrive at the new
job, including all the needed furniture
and transition items. Setting up does
not just mean stocking supplies and
making sure that furniture is in the office;
it also involves having the employee’s
usernames and passwords available and
their voicemail reset. The key is making
sure that they are able to move into a
space that allows them to immediately
engage in their work, thus reinforcing a
seamless transition.
Connect to Human Resources. Clear
communication and early connection
with the departmental human resource
staff member is an essential part of the
early phase of onboarding. Standard
employment paperwork should be
completed and processed before a new
employee arrives on campus. In many
cases, assignment of an employee ID
number will allow all other access and
login information to be created. Providing
computer login and passwords, an
employee email address, and access to
data and process systems creates a sense
of belonging and connection for a new
employee and allows them to begin their
role from day one.

builDing relationsHips
The help that new employees need has as
much to do with meeting people as it does
with the job itself.
Arrange meetings with new people.
Relationships are key in any organization,
especially in housing and residential
life. Supervisors should introduce new
employees to departmental colleagues and
arrange strategic contacts with campus
partners. Prior to this introduction,
supervisors should provide a context that
enables the employee to understand why
they need to know the person, as well
as other helpful tips to set them up for a
