RESPONSE TIME
but also does general maintenance.
One thing that all partners and staff
seem to agree upon is that something
impeding student comfort is a reason
to call after-hours staff.
Once the lights come back on, the
hole is sealed, or the pipes are fixed,
that doesn't mean the work is done.
The time following an emergency is
also an important part of the process
and a vital ingredient in customer
service. Several questions may need to
be addressed depending on the type
of emergency. Does the student need
to be temporarily relocated because
of the incident? Could the facilities
staff shampoo a rug, do laundry,
or provide a laundry card? In some
instances, the institution's policy will
be to reimburse the student for lost
or damaged items, or at least guide
them through the university policy to
submit a claim or checking on personal
or renter's insurance. If a situation
was serious enough, the student may
need to discuss a permanent room
reassignment or a contract release
appeal with the assignments staff.
Regardless of the specifics, it is good
customer service for the facilities staff,
the residence life staff, or both to follow
up with residents about their living
conditions.
Emergency response is often
thought of as a situation where
everyone must spring into action and
react almost without thinking. But
responding quickly should not mean
responding recklessly. Forethought and
planning is what allows the response
to appear seamless in its effort. The
best emergency response plan is the
one that never has to be used. But
when the time comes that it does, it's
invaluable to have one in place.

MANAGING FULL CIRCLE
in charge in his department and has
been at the university for eight years.
He refers to himself as the navigational
system for the office. "As the person
with more longevity among the
leadership team, it is important that I
am a connector as well as transparent
about our organization's weaknesses
and where there are some critical issues
that have not been addressed. I shape
the agenda and provide some direction.
You can choose a different path or
change the destination, but my role is to
provide ways to get to the goals we set.
At times I provide the context for the
way things are presently but only when
asked. If I am not asked, then it is my
role to provide information on some of
the areas that need to be addressed in an
unbiased way."
Mikal Kenfield, director of residence
life at Concordia College in Moorhead,
Minnesota, agrees that managing up has
benefits for professional growth in the
staff she supervises. As employees bring
issues or concerns to her, it allows her
to identify their personal strengths and
areas of interest in their specific work.
"When my direct reports manage up, I
see them as taking ownership for their
role and their professional development.
I also tend to send more opportunities

and ideas to direct reports that routinely
manage up. This occurs mostly
subconsciously because their pattern of
managing up creates a closer workplace
relationship, the kind of workplace
relationship that lends itself to more
communication and more informal
projects."
For those who have a tenuous
or challenging relationship with a
supervisor, managing up can help, as
it allows the supervisee to establish
expectations and clarify their own
responsibilities. Kenfield found herself
struggling early in her supervisory
relationship after a divisional
restructuring. "I would sit in my office
after our one-to-one meetings muttering
under my breath things like, 'What in the
world are your expectations of me?' and
'Don't you want to know what my goals
are?' After a few weeks, I was talking to
my partner, who works in a corporate
setting, and he suggested it was time to
start managing up. I had never really
thought about it being personally useful
to me, which sounds ridiculous. From
that moment on, I revved into managing
up mode and never looked back. Things
aren't perfect, but it definitely made me
take more ownership of my relationship
with my boss."
Blutreich encourages those who
manage up to leave their ego at the
door and to remain honest with a
supervisor in order to maintain trust
and empowerment. "I am honest about
my own strengths and weaknesses with
my supervisor. One of the challenges
of managing up is remaining unbiased
so the folks above can form their own
opinions of people and obstacles.
Relationship and trust is key. I try to be
sure we have a good relationship. That
doesn't mean we always agree, but does
mean we can work together and move
things forward."
