new issues they were facing. Managers
used weekly Zoom meetings to check on
their staffs' well-being. Regularly scheduled monthly staff meetings continued as
we knew the importance of staying in touch
as a team, communicating important information as things developed, and answering
questions to eliminate unnecessary fears
and confusion. Using Zoom, the leadership team was able to complete tasks and
address issues in real-time.
The COVID-19 experience has been
both a disruptive and an innovative experience for the Hospital. Technology has been
enhanced, industry standards have been
met, and some functions, which by industry norms, can be performed remotely are
now being instituted. Paperless communication and reporting, electronic signature and
other processes are now established in all
areas and Finance Committee and Board
Meetings are now held virtually.
Performance is at its highest level, productivity has improved, collection rates have
been maintained, financial statements are
completed on time, medical record coding
is on schedule, and the clinical documentation team is reviewing patient charts. Payroll
has produced all bi-weekly payrolls by direct
deposit or debit card as usual. Accounts

Payable is processing invoices and vendor
payments on schedule, charges are captured as before, and timely billings are
continuing.
We have continued to hire new employees. All functions including the interim audit
are conducted remotely and the fiscal yearend audit will be completed in the same
manner. Finally, the detailed Fiscal Year
FY2021 budget is being developed. Sharing
documents via Zoom allows for decisions
to be made collaboratively and edits to
be made in real time, enabling tasks to be
completed quickly and has significantly
improved communication.
Patient Access and HIM Operations
functions have to work face-to-face with
patients in the hospital and therefore did
not transition offsite. Initially, access to
Personal Protective Equipment (PPEs) were
limited but now the team has an adequate
supply and can safely provide their services
to our patients. We make sure these teams
feel supported daily and that they understand how thankful we are every day for
their work on the front lines by giving daily
words of encouragement and tokens of
appreciation. The team maintains its own
PPE inventory and keeps the staff updated
with COVID-19 updates from the hospital
and DCHA in daily huddles. Proper signage has been posted in the departments
