RMV Records Archived Registration, Vehicle and Title Records In November 2015, the RMV began archiving registration, vehicle and title records in ALARS as part of the data cleansing efforts as we transition to the new ATLAS system. The archived records were moved to a data warehouse where they can now be accessed. How were the records identified to be archived? The RMV ran a report of records that have not had any activity in over 5 years. How do I know if a record has been archived? If a custom presents documentation to process a transaction and ALARS returns the message "A RECORD MATCHING ENTERED KEY(S) WAS NOT FOUND", it is possible the record has been archived. To verify whether the record is in a confidential status or has been archived, the clerk will go to the TIA screen and enter the vehicle information. * If the message on the T1A screen reads "PLATE CANNOT BE ISSUED", the record is confidential and the clerk should contact Enforcement Services. * If the message on the T1A screen reads "A RECORD MATCHING ENTERED KEY(S) WAS NOT FOUND", the clerk will contact Business Support who will verify that the record is archived. How does an archived record get recreated? The documentation presented by the customer should be faxed to Business Support. They will verify the validity of the documentation and recreate the record. Once the record has been recreated, the customer's transaction can be completed at the branch. A lien code will be added to the record to indicate that it was recreated from the archive and to inform users that the additional information can be found in the data warehouse. 04/16 5
