Levy's perspective is that in a community such as Walden Woods, without a site super or site manager, the key to this level of issue tracking is a superstar volunteer or committee. They are literally fulfilling a part-time job since the volume of work is so overwhelming that an off-site management firm could never handle such a volume of work. Evernote clearly makes the documentation task easy to complete and flexible for any situation encountered. The association created a Buildings and Grounds Committee this year, and that committee is utilizing the same zone definitions established last year by the Landscape Committee and is considering the same Evernote technology database for documenting and communicating building and grounds issues with the unit owners. When performing regular property inspections, volunteers and property managers can take and organize their notes as well as email exchanges and other documents into searchable records using the established Evernote database by address and category. Direct contact with either the committee or management company that is initiated by unit owners for repairs and/or enhancements are likewise accommodated and tracked in the same database. The Evernote database has allowed the management and status of all landscape items to be transparent to the unit owners and is available 24/7 at no additional cost to the association or owners. It is expected that this technology will be expanded to include a wider range of subjects as we gain experience in using the new technology.
