However, those planners we interviewed who have experience using CVBs clearly appreciate their efforts in assisting with a variety of meetingsrelated tasks. Among planners who don’t often use CVBs, one reason cited for the lack of usage is that the planners have limited awareness of CVBs’ wide-ranging capabilities. “Part of this knowledge gap is that bureaus are perceived as primarily for ‘conventions,’ which implies larger meetings,” observes Steve Clanton, vice president of sales for the San Antonio Convention & Visitors Bureau. An underlying issue is that many planners not often using CVBs incorrectly assume that they’re not interested in servicing smaller meetings. Yvette Remschel, business development & exhibits director for the Dallas Human Resources Management Association, says, “I think some planners perceive that you can only use CVBs for multi-property or citywide meetings, but that is not the case. In fact, a couple months ago I contacted a CVB for assistance in placing a lunch meeting, and they were more than willing to send out the RFP for me.” In fact, many CVBs have dedicated sales staffs with focused efforts on the smaller meetings market, and they offer information for meetings of all sizes on their websites. According to Clanton, “Whereas much of our industry has become transaction-focused with smaller groups, the CVB is still the sales engine for the customer who wants to be educated on the total destination.
