changes. Technology, personnel and facilities are in a constant state of flux at any company. In the moving business, communication is vital to all phases of the relocation process, particularly on interstate moves that involve multiple parties to get customers from origin to destination. When disaster strikes, make sure you have backup communication abilities. Assume power and internet connections will be unavailable at your offices. That means reliance on cell service, which also could be interrupted, and call forwarding, depending on your primary phone system. Having cell connections for phone and internet through "air cards" that can be utilized by laptops and other computers away from your offices is essential. Create a plan for how you will connect with your employees and customers. Is there a specific place to which employees should report when they are clearly unable to come to the office? When an emergency occurs, is there a specific telephone number they should call or a text message they should send? What's the plan for contacting customers whom you plan to move during the period when business is interrupted? If you can be functional after a business interruption, are you in a position to provide estimates and pricing for new customers? That might mean a return to manual cube sheets and estimating, if your salespeople are unable to use their hand-held devices for some reason. Ensuring that new business can still come down the pike is a necessity for your future. A complete stoppage of new opportunities means a standstill for new revenue. Depending on the focus of your agency and the various revenue streams that drive your bottom line, you may need to focus on different areas. For example, agencies that perform significant office moving jobs or furniture, fixtures and equipment work, in addition to household goods, will have even more immediate transportation needs based on the ongoing demands of clients. Are truck rentals mapped out? Do you have an agreement with a rental company for a certain amount of capacity if a disaster occurs? At the core, disaster recovery and business continuity are really about constant communication. Agency owners should work closely with their managers and other key personnel to decide which people are responsible for declaring a disruptive event and mitigating its effects, and deciding what functions must be maintained in the event of a business disruption. The plan also will need to be cognizant of the fact that in the event of a major disaster, many employees will have personal concerns that will take priority-and they may not be available to the business during that time.
