As vice president of people operations for InVision,
Worldwide ERCĀ® board member Shelby Wolpa
knows a thing or two about managing remote teams.
She has helped the digital product design company
grow by 600 employees in three years-all of whom
work remotely-across 20 countries. She encourages
companies to think outside of the box when it comes
to benefits and perks for remote workers.
Instead of the traditional open enrollment process
suitable for on-site employees, InVision transformed
the experience by using employee input to create
what she dubs a "white glove" experience for its
distributed workforce.
"Leading up to InVision's 2020 benefits open
enrollment season, the people team hosted dozens
of individual interviews, analyzed results from
employee surveys, and studied benchmark data,"
noted Keith Loria in a recent Profile magazine article.
"Wolpa and her team then mapped out the employee
journey from end to end to understand where friction existed within the current process and where
improvements could be made.
"Key design changes," he noted, "included adding
a designated learning pathway to guide employees
through InVision's learning system, live and recorded
virtual education sessions, robust resources on the
company intranet, and virtual people team office
hours. As a result, 65% of InVision employees participated in making open enrollment changes, and the
team achieved a 96.33% rate of satisfaction from the
annual post-open enrollment survey."

We're in exceptional circumstances at the moment,
but since increased remote work is likely here to stay,
successful remote worker programs will not mean the
same thing in all locations. Various jurisdictions have
employment laws in place governing remote work,
which range from data privacy protection to work
environment and health and safety. Add to this the
resumption of business travel and assignments, and
it becomes critical to understand current labor, immigration, and tax laws and monitor changes to know
how different scenarios could impact your company
and your associates. Monitoring and tracking the
number of days spent in the company's facility
versus working from a home office, co-working site,
or temporary accommodation, for example, will be

essential. Regularly assessing your security risks
takes on new levels of importance when you have
fully distributed global teams connecting and sharing
data from a multitude of sites.

As companies quickly learned through COVID-19
work-from-home orders, having the right technology
is critical. Employees' ability to communicate and
collaborate is highly dependent on the tools at hand.
Is everyone equipped with a Wi-Fi-enabled laptop
with email, video camera, and speaker? How will
your tech support team allocate its time and resources
to set up and train remote employees on new tools?
How will you collectively track project status or
address issues and delays when they arise?
"You need to make sure that everybody stays in
constant communication, making things like dedicated email, videoconferencing, and instant messaging crucial," notes Emplify. "Your leaders need to
reach out to their team as easily as they could walk to
their desks. The teams need easy lines of communication to work alongside each other."
There are several key areas of technology you'll
want to invest in. First, your distributed team will
need a good online project management platform.
Some popular ones are Basecamp, Asana, and Wrike,
which enable workers to add and update projects,
assign tasks to others, create milestone dates, and
share related files. Employees will also need to communicate virtually, through meetings apps such as
Zoom, Skype, or GoToMeeting. Microsoft OneNote
or Google Docs are easy ways to document meeting
notes and action items, and share them out to all
participants. Collaboration tools such as Office 365
or Microsoft Teams enable team members to collaborate and share documents remotely. Set up shared
Dropbox or OneDrive folders as a central repository
for files, such as the latest version of business templates, marketing collateral, or sales proposals.

It's important to consider other practicalities, too.
No one appreciates an 11 p.m. mandatory video
call with the boss, so take into account the different
time zones in which your team is working. A good
rule of thumb is to look for a four-hour window
of common working hours across all zones, and
schedule group meetings only during those hours.
